During the symposium, attendees will have the opportunity to view your e-Poster in the format of image and PDF files.

Your e-Poster submission should include ONE JPEG/PNG file and ONE PDF file

To submit an e-Poster for an abstract you have submitted, follow these steps:

• Access the e-Poster submission HERE. *A personal link to the submission portal has been sent by email to e-Poster presenters.*

• Login credentials: To login via the general portal linked above, enter your email and password used in the abstract submission process. If you don’t have a password or have forgotten it, you can request a one-time access code from the system. The access code will be sent to the email address you used to submit the abstract. Therefore, it is essential to have access to that email account.

• Prepare your files: Ensure you have the necessary files ready for your e-Poster submission (JPEG/PNG and PDF files). Please note that the JPEG/PNG file should not include the abstract title or authors, as the system will automatically add those details based on the submitted abstract. The PDF file can include these details. 

• File formats and sizes: Ensure that each file is less than 5MB in size. Please ensure to follow these instructions carefully for a successful e-Poster submission.

Please adhere to the following specifications when preparing your e-Poster files:

• File formats: Your e-Poster should be uploaded as an image file in either JPEG or PNG format and in PDF format.
• Image orientation: Ensure that your files are in “portrait” orientation, not landscape.
• Aspect ratio: Maintain an aspect ratio of 9X16.
• Recommended resolution: The recommended resolution for image file is 1080 pixels width X 1920 pixels in height.
• Number of files: Your e-Poster should consist of one image and one PDF slide.
• Maximum file size per file: Each file should not exceed a file size of 5MB.

Step 1: Create a Presentation
Start by creating a new presentation in your chosen software. If you are using PowerPoint, you can utilize the available size template to expedite the process.

Step 2: Export the Presentation as an Image

To prepare your poster for submission, you will need to save the page of your e-Poster as an image file. Follow these steps to export your presentation as an image if you are using PowerPoint:

  1. Go to the “File” tab at the top left corner of the PowerPoint window.
  2. Select “Export” from the drop-down menu.
  3. Choose “Change File Type” or “Save As” (depending on your PowerPoint version).
  4. Select the image format you prefer, such as JPEG, JPG, or PNG.
  5. Specify the folder where you want to save the image.
  6. Click “Save” or “Export” to save the slide as an image file.
  7. Choose a location to save the image.
  8. Go to the “File” tab in PowerPoint.
  9. Select “Save As” or “Export” (depending on your PowerPoint version).
  10. Choose the image format, such as JPEG, JPG, or PNG.
  11. Save as an image file in the designated location.
  12. Ensure that the file is in “portrait” mode and has an aspect ratio of 9X16 as per the guidelines.
  13. In addition, save the file as a PDF file.

 

Step 3: Uploading Your e-Poster

To submit your e-Poster, you will need to upload the image file that you created in Step 2 to the event’s e-Poster uploading interface.

Log in using your personal details. If you don’t remember your password, click on “Forgot your password?” to reset it. 

*A personal link to the submission portal has been sent by email to e-Poster presenters.*

After logging in to the e-Poster uploading interface, you will be presented with a list of the abstracts that you previously submitted. Please note that this list will only display abstracts that were submitted as “poster” or “e-Poster” presentations. Please only refer to abstracts accepted for e-Poster presentation.

To proceed with uploading your e-Poster, follow these steps:

  • From the list of abstracts, select the specific abstract to which you want to upload the e-Poster files. This action will direct you to the submission page for that particular abstract.
  • From there, locate and click on the “+Add Slide” button provided on the submission page. Follow the instructions provided to upload the image file that you created in Step 2. 
  • Then locate and click on the “+Add PDF” button and follow the instructions provided to upload the image file that you created in Step 2; both the image and PDF files are uploaded in the same section. 
  • Make sure to follow any additional guidelines or specifications provided on the submission page to ensure a successful upload.
  • Before finalizing your submission, it is crucial to review your upload to ensure that all the files have been successfully uploaded. Carefully check each file to verify that the correct image and PDF files have been uploaded associated with your e-Poster. 
  • Once you have reviewed your submission and ensured that all the files have been uploaded correctly, click on the “Submit” button to finalize and submit your e-Poster.
